How we handle your application, and how to raise a question or exercise your rights.
1. Who this notice covers
EVA.AI LIMITED (company number 08700214), registered in England and Wales. Registered office: Martlet House, E1 Yeoman Gate, Yeoman Way, Worthing, West Sussex BN13 3QZ. Contact: ben@eva.ai. EVA.ai is our trading name.
This notice covers applications to work for EVA itself. If you are applying to an employer that uses EVA, that employer’s privacy notice applies to its recruitment process. Our main privacy notice explains the controller and processor distinction.
2. Information used in recruitment
We use information you provide, such as your contact details, CV, employment history, application answers and correspondence, together with interview notes and assessment information created in the process. Where references, recruitment partners or other sources are used, the relevant recruitment process should tell you what is obtained and why.
Required application fields are identified when information is requested. Without information needed to assess your application, we may be unable to progress it. Please do not include unnecessary information about other people or sensitive information unrelated to the role.
3. Purposes and lawful bases
We use relevant information to assess and respond to your application and take steps you request towards employment. We also have legitimate interests in running a fair, documented recruitment process and dealing with queries or claims. Legal obligations may require particular checks or records.
If a process asks for health, adjustment or equality information, the collection notice must explain the specific purpose, whether answering is optional, who can see it and the applicable additional legal condition. This general notice does not ask you to consent to unspecified sensitive-data processing or permit it for every purpose.
4. Assessment and AI
The vacancy and assessment process should explain the criteria, information and any AI-assisted tools used. EVA’s public product examples do not describe every step in our own recruitment process. You can ask how information about you contributed to an assessment, correct an error and request human review by contacting ben@eva.ai.
If solely automated decisions with legal or similarly significant effects are proposed, you must receive the applicable information and safeguards for that process, including how to make representations, seek human intervention and contest the decision. This notice does not itself authorise such a process.
5. Access, recipients and transfers
Application information is shared with people involved in the recruitment process and the service providers supporting it, limited to what their role requires. Information may also be shared with professional advisers or authorities where necessary or required by law. Ask us for the providers and any international-transfer safeguards relevant to your application; our main privacy notice explains how to request those details.
6. Retention
Retention depends on whether recruitment remains active, whether a query or claim needs to be handled, and any applicable legal requirement. Successful applications may become part of the employment record where relevant. Keeping details for future opportunities is a separate purpose that must be explained to you; applying for one job is not a blanket agreement to remain in a talent pool.
Contact us for the retention period or criteria applying to your application, or to ask for deletion. We will explain any lawful reason for retaining particular information.
7. Rights and choices
Depending on the processing and the law that applies, you can ask to access or correct your information, erase it, restrict its use, or receive a portable copy. These rights have conditions and lawful exceptions. We may need information to confirm your identity. We normally respond to rights requests within one month; where the law allows an extension or pause, we will explain it.
Your right to object: you can object to processing based on legitimate interests for reasons relating to your situation. You can object to direct marketing at any time, without giving a reason.
Withdrawing consent: contact ben@eva.ai, use an unsubscribe link where provided, or change your cookie settings. Withdrawal does not affect processing that was lawful before it, and we may retain a limited record to respect your choice or meet a separate legal obligation.
8. Complaints
To make a data protection complaint, email ben@eva.ai or write to our registered office. Explain what happened, how it affected you and the outcome you would like. You can use our complaint form, completed electronically or on paper. Contact us if you need another accessible format.
We will acknowledge your complaint within 30 days, investigate appropriately, keep you informed and communicate the outcome without undue delay. A complaint does not replace a separate request to exercise your data rights.
You can also complain to the Information Commissioner’s Office (ICO), or to another competent supervisory authority where applicable. Our process does not restrict that right.
